The honest case for staying on Zapier
Open-source fans tend to skip this part. Zapier's pricing page says it integrates with more than 9,000 apps, and that breadth is often decisive: one missing integration can cost more in custom work than a year of task fees. Zapier is also fully managed, so there is no server, no updates and no security patching to own, and its linear builder is the easiest for non-technical teammates. When runs exceed your allowance, Zapier holds them rather than dropping them, and you can replay them later. For a small team with short workflows, staying put can be the cheaper decision once you count everyone's time. Switching tools has a real cost in rebuilding, retesting and retraining, and that cost only pays back when the savings or control you gain are large and lasting. Run the numbers on your own workflows before moving anything.
Data control and compliance
Where your data flows matters more for some businesses than price. With any hosted automation tool, including Zapier and Activepieces Cloud, the data your workflows move passes through the vendor's infrastructure. That is fine for most small businesses, but some clients, contracts or regulations require data to stay on systems you control. Write down your five most-used automations with their steps and monthly runs. Count Zapier tasks as action steps times runs, and Activepieces credits as runs plus any AI step costs. If most workflows have four or more steps and run often, Activepieces will usually cost much less. If most are two-step Zaps connecting apps Activepieces does not support, Zapier will usually be simpler and close in price. There is no prize for using only one tool.
