Adobe's Prepare Form tool analyses a PDF and automatically adds fields for things like text entries, checkboxes and signatures, per Adobe's help (checked October 2026). Automatic detection is a starting point: it can miss boxes, merge neighbouring answers or size fields too small. Go through every page and adjust.
Fillable workbook tutorial: structuring pages that get used
A workbook succeeds when buyers finish it. That depends less on design than on how each exercise is written and sequenced. Four page types cover almost every workbook:
- Section opener. One page that names the step, says why it matters and how long it takes. Buyers decide here whether to keep going.
- Teaching page. The idea, one example and the common mistake. Keep it to a page; anything longer belongs in a course or a video.
- Exercise page. One prompt per box, written as a specific question. "List three clients you enjoyed working with and what they had in common" gets answered; "Reflect on your ideal client" gets skipped.
- Summary page. Pulls the answers from the section into one decision or plan, so the buyer leaves each section with something concrete.
Put an example answer next to harder prompts, in a muted colour or a separate box. Buyers fill in blank pages far more readily when they can see what a good answer looks like. Keep the example short so it guides rather than replaces their thinking.
Finally, plan where the buyer writes the most. Exercise pages need more space in the print version than in the fillable one, because handwriting is larger than typing. Design the print layout first, then shrink fields for the fillable copy, rather than the other way round.
File hygiene before you ship
- Name the files for buyers: Workbook-Fillable.pdf and Workbook-Print.pdf, not export-final-3.pdf.
- Set the document title in the PDF properties so it shows correctly in readers and browser tabs.
- Add bookmarks or a linked contents page to the fillable version so buyers can jump between sections.
- Check the file size against your store limit; compress large images before export rather than after.

Building both from one master is the point. When you fix a typo or add an exercise, you change the master and export both versions again, instead of keeping two documents in sync by hand.
Making the workbook in Canva: license points
Canva is the most common layout tool for workbooks, and its rules for this format are specific. Canva's help says an e-book is not a template, even if it has sections the reader fills in, because it is a finished product. That puts a workbook in the e-book category: you sell the finished PDF, not an editable Canva design. Canva also says a pixel limit applies to Pro content in electronic publications, and that Canva content cannot be sold on a standalone basis (checked October 2026).
In practice: let your own writing and exercises carry the product, use library elements as supporting design, and check the current Canva terms if you plan to use Pro photos prominently. If you also want to sell an editable version for other coaches to rebrand, that is a template, and Canva's template rules apply instead.
Building a coaching workbook template
Coaches use workbooks in three ways, and the build changes with each:
- Inside a program. The workbook follows the sessions or modules. Number exercises to match lessons and leave space for notes from calls.
- As a standalone product. The workbook has to teach as well as prompt, so add short explanation pages before each exercise.
- As a lead magnet. A short workbook that solves one small problem and points to the next step with you.

A coaching workbook template, meaning an editable version other coaches can rebrand and resell to their own clients, is a different product from a workbook for end users. It needs editable source files, a license that allows client use but forbids reselling the template itself, and instructions for changing colours and fonts. Decide which one you are making before you design, because the deliverables and the buyer are not the same.
Workbook PDF business: pricing without guesswork
We are not going to quote prices for 20 to 60 page workbooks: we have not collected sales data that would support a range, and figures quoted online are usually self-reported. What decides price is the outcome and the context. A workbook bundled with a program or sessions is valued as part of that result; a standalone download competes with other downloads in the same marketplace. Where to sell a workbook PDF
Coaches with an audience usually sell from their own site or a direct store, or include the workbook inside a program. Etsy suits guided journals and planners with shopper search; its digital listings allow up to five files of up to 20MB each, enough for a fillable PDF, a print PDF and a short guide. Troubleshooting
- Typed answers overflow the box. Set the field to accept multiple lines, use a smaller fixed font size, or make the box bigger in the master.
- Fields jump in the wrong order. Set tab order in your PDF editor so it runs top to bottom, left to right.
- Buyer says answers disappeared. Their viewer did not save form data. Tell buyers to save a copy before filling and to use a reader that supports forms.
- Print version drains ink. Swap full-page colour backgrounds for white pages with coloured headers.

A workbook sold alone to strangers competes with other downloads; one bundled with a course, a group program or sessions is valued as part of that result.
