To make spreadsheet templates to sell, separate input cells from calculations, highlight inputs with one consistent colour, use dropdowns and empty-safe formulas, then protect the calculation areas against accidents. Neither Google Sheets nor Excel protection is a security feature, so protect for usability and rely on a license and clean delivery for the rest.
To make spreadsheet templates to sell, build a sheet where buyers type only into clearly marked input cells, every calculation is locked away from accidental edits, and a short instructions tab explains the rest. Then deliver it as a copy link for Google Sheets or an XLSX file for Excel, with a license that says what buyers may do with it.
Protection behaviour checked October 2026 against Google's help on protecting, hiding and editing sheets and dropdown lists, and Microsoft's help on protecting a worksheet and displaying or hiding formulas.
This guide is about the build: protection without breakage. For deciding whether spreadsheets are the right format, see the digital product creation hub. For selling templates in general, read how to sell templates.
The system: inputs, logic, output
- 01Start here tab
What the sheet does, the three first steps, where to get help.
- 02Input cells
One highlight colour, dropdowns where possible, never formulas.
- 03Calculation area
Formulas only, protected, ideally on its own tab.
- 04Dashboard
Charts and totals that update from inputs with no buyer action.
Most broken templates break because those layers are mixed: a total typed into a cell a buyer later overwrites, or a formula placed in a row the buyer deletes. Keep them apart and the rest of this guide becomes easy.
The input-highlight convention buyers reward
Pick one fill colour for "type here" cells and use it nowhere else. Say so in the first line of the Start here tab. Buyers learn the convention in seconds and stop poking at cells that are not theirs. Pair it with:
- Dropdowns instead of free text for categories, statuses and months. Google Sheets data validation can show a warning or reject input that does not match; rejecting keeps your formulas fed with values they expect.
- Example rows in a muted style, with a note to delete or overwrite them.
- Units in the header, such as "Amount (USD)", so buyers do not type currency symbols into number cells.
How to make spreadsheet templates to sell, step by step
- 11. Define one job
Track a budget, plan content, price a product. One job per template.
- 22. Sketch the dashboard first
Decide the numbers the buyer wants to see, then work backwards to inputs.
- 33. Build inputs with validation
Highlight colour, dropdowns, clear headers. Expected result: a buyer cannot enter a value your formulas cannot handle.
- 44. Write empty-safe formulas
Every calculation returns blank, not an error, when inputs are empty.
- 55. Protect the logic
Protect calculation ranges in Sheets, or unlock inputs and protect the sheet in Excel.
- 66. Add Start here and FAQ tabs
Three steps to start, what each tab does, how to reset.
- 77. Test as a buyer
Make a copy from a second account, clear the sample data and fill it from scratch.
- 88. Prepare delivery

Sheet protection in Google Sheets vs Excel
Both apps protect cells, and both are explicit that protection is not security. Google says protection "shouldn't be used as a security measure" because people can still copy and export the spreadsheet. Microsoft says worksheet-level protection "isn't intended as a security feature" and simply prevents changes to locked cells. The details differ:
| Need | Google Sheets | Excel |
|---|---|---|
| Lock formatting but allow input | Not possible on one protected sheet | Yes, unlock input cells then protect the sheet |
| Password on protection | No | Optional |
| Warn instead of block | Yes: Show a warning when editing this range | No direct equivalent |
| Hide formulas from the formula bar | No equivalent | Yes, mark cells Hidden then protect |
| Hidden tabs in a copy | Can be unhidden by the copy owner | Can be unhidden unless the workbook structure is protected |
| Official stance | Not a security measure | Not intended as a security feature |
In Google Sheets you choose a sheet or range under Data, Protect sheets and ranges, then either show a warning or restrict who can edit. The owner of a file decides who can change protected ranges, and a buyer who makes a copy owns that copy. So in practice, protection in a sold Sheets template is a guard rail for the buyer, not a lock against them. The warning option is often the better choice for inputs near formulas: it lets a confident buyer customise and stops an accidental overwrite.
In Excel, all cells are locked by default but locking does nothing until you protect the sheet. The workflow Microsoft describes is: unlock the cells buyers may edit, optionally mark formula cells as hidden, then protect the sheet with or without a password. Tick the options you want buyers to keep, such as sorting or filtering, before you protect. One catch from Google's side: if an Excel file is opened in Sheets in Office editing mode, Sheets protection is not available until the file is converted.
Formula obfuscation: the tradeoffs
Sellers are tempted to hide formulas so buyers cannot copy their logic. Weigh what that costs:
- Buyers never need to change the logic
- The template is a calculator with a fixed method
- Support questions mostly come from broken formulas
- You sell in Excel, where hidden formulas are supported
- Buyers will adapt the sheet to their business
- Your buyers are analysts who want to audit numbers
- You sell in Google Sheets, where the copy owner sees everything
- Trust is part of the product, as with finance templates
Google notes that hidden sheets are not protected: editors can unhide them, and viewers who make a copy can unhide them too. Moving formulas to a hidden tab tidies the interface; it does not conceal anything from a curious owner. Your real protection is the value around the file: updates, support, a guide and a clear license.
Excel template design to sell: what corporate buyers expect
- No macros unless the job needs them. Macro-enabled files trigger security prompts and are blocked in many company environments.
- Print-ready layouts with set print areas, because finance and operations buyers still print and PDF reports.
- Named ranges and clear tab names so the logic can be audited.
- Plain, consistent formatting that looks at home in a company deck.
Business buyers often want the boring templates: trackers, SOP logs, investor updates. Our list of boring digital products that sell has more ideas in that vein.
Google Sheets template creation and delivery
Keep a private master file and a separate product file shared as view only. Deliver a PDF that holds the link and setup steps. A widely used convention, described in Google's Docs Editors community, swaps the end of the link for /copy so the buyer sees a Make a copy prompt rather than your file. Our guide to delivering digital products through Google Drive covers sharing settings and what to do if a link leaks.
For pricing, listings and launch, our Digital Products program covers how we take a template from validation to first sales, including spreadsheets.
Create spreadsheet templates as a business
One template becomes a small line when it shares a structure: a budget sheet, then a debt tracker and a savings planner with the same input colours and dashboard style. Buyers who learned one already know the next. Keep a version number in the Start here tab and a changelog, and email buyers when you ship fixes.
Some buyers would rather have the same system in Notion than in a spreadsheet. If your template is more about tracking records than calculating numbers, a Notion version can be a second product for a different buyer; our guide to making Notion templates to sell covers how that build differs, from locked databases to duplicate links.
What goes in the download
The file is only part of what a buyer gets. A complete spreadsheet product usually ships as:
- The template, as a copy link for Sheets or an XLSX for Excel, with sample data the buyer can clear.
- A short PDF guide with screenshots of the Start here tab, the input colour convention and how to reset the sheet for a new month or year.
- The license, stating whether buyers may use the template for their own business only, share it with their team, or use it for clients, and that they may not resell or redistribute it.
- A support route: an email address and what you will and will not help with, such as fixing your formulas but not rebuilding the sheet for a different purpose.
On Etsy, a digital listing can hold up to five files of up to 20MB each, per its digital listings help (checked October 2026), which comfortably fits an XLSX, a guide and a license, or a PDF holding a Sheets copy link.
Troubleshooting
- Buyer cannot type anywhere. The whole sheet is protected with no exceptions. Add the input cells to Except certain cells in Sheets, or unlock them before protecting in Excel.
- Dashboard shows errors on a fresh copy. A formula assumes data exists. Wrap it so empty inputs return blank.
- Buyer says the copy link opens your file. The link is an edit or view link without the copy prompt, or sharing is set too wide. Re-check sharing on the product file.
- Excel buyer opens it in Sheets and protection vanishes. The file is in Office editing mode; Sheets protection only applies after conversion. Offer a native Sheets version.
- Inputs share one highlight colour and nothing else uses it
- Every input with fixed options uses a dropdown
- Formulas return blank, not errors, on an empty copy
- Calculation ranges protected; inputs still editable
- Start here tab with three steps and a reset note
- Tested from a copy made in a second account
- Delivery PDF with the copy link or the XLSX, plus the license
Making spreadsheet templates to sell: FAQ
Can I stop buyers from copying my Google Sheets template?
No. Google says sheet and range protection should not be used as a security measure, because people can still print, copy, paste, import and export copies. Viewers can make a copy, and whoever owns a copy controls its protections. Protect ranges to prevent accidental edits, and rely on your license, a personal delivery link and support to deal with sharing. Checked October 2026.
Does Excel sheet protection keep my formulas secret?
It hides them from casual view, not from a determined user. Microsoft says worksheet-level protection is not intended as a security feature; it prevents changes to locked cells. You can mark formula cells as hidden so they do not show in the formula bar on a protected sheet. Treat that as tidiness for buyers, not as protection of your work. Checked October 2026.
Should I sell spreadsheet templates in Google Sheets or Excel?
Match the buyer. Google Sheets suits buyers who work in a browser, want to share with a partner or team, and need nothing installed. Excel suits finance, accounting and corporate buyers who live in desktop Office. Many sellers offer both, but build one first, because protection, functions and formatting behave differently and every version needs its own testing.
How do I deliver a Google Sheets template after a sale?
Most sellers deliver a PDF with a link that prompts the buyer to make their own copy, plus setup instructions. A common convention, described in Google Docs Editors community threads, replaces the end of a view link with /copy so the buyer sees a Make a copy prompt. Keep your master in a separate file and share the product file as view only.
What makes a spreadsheet template worth paying for?
It saves the buyer from building something fiddly and it is hard to break. Clear input cells, dropdowns instead of free typing, calculations that work with empty rows, a dashboard that updates on its own, and a short how-to tab. Buyers forgive plain design; they do not forgive formulas that error out on day one or a sheet they cannot figure out.
Where can I sell spreadsheet templates?
Etsy, Gumroad, Payhip, Lemon Squeezy and your own site all sell spreadsheets as digital downloads. Etsy brings shopper search for budget and planner sheets; direct stores suit business templates sold to an audience you already reach. Etsy charges a $0.20 listing fee and 6.5% per sale plus payment processing, and Gumroad charges 10% plus 50 cents plus card processing on direct sales. Checked October 2026.
One template is a test. A line of them is a business.
