Buyers pay for a spreadsheet when it answers a question they cannot easily answer themselves. "Where did my money go" is a tracker. Narrow beats broad. "Budget template" competes with every free file on the internet. "Budget for a couple with irregular freelance income" has a buyer who recognises themselves in the title. Selling Google Sheets templates or Excel files: why you ship both

Sell both formats, as two separate native builds. The two apps look alike and are not interchangeable, and the differences sit exactly where a paid template is most fragile: functions, protection and automation.

Three of those rows cause most refund requests, so here is what the official pages say:

  • Functions. Google's function list includes QUERY, IMPORTRANGE, GOOGLEFINANCE and ARRAYFORMULA; Microsoft's alphabetical list of Excel functions has none of them. In the other direction, Microsoft marks XLOOKUP, FILTER, LET, UNIQUE and SORT as introduced in Excel 2021 and LAMBDA in Excel 2024, and says such functions are not available in earlier versions. Its XLOOKUP page states plainly that XLOOKUP is not available in Excel 2016 and Excel 2019.
  • Protection. Google's help on Office files says that when protected workbooks and worksheets move from Excel to Sheets, locked and hidden cells become viewable and editable. An Excel template opened in Sheets is an unprotected template.
  • Macros. The same page lists macros as not supported when an Office file is edited in Sheets; the Sheets equivalent is Apps Script, which Excel does not run.

In practice: build the Google Sheets version first, because a copy link is the easiest thing to test with real people. Then rebuild in Excel using functions that exist in the oldest version you are willing to support, and say so in the listing. "Works in Google Sheets, and in Excel 2021 or Microsoft 365" is one line that prevents the most common complaint. If you want Excel 2016 and 2019 buyers, stay away from XLOOKUP and the dynamic array functions.

Delivery follows the format. The Sheets version goes out as a make-a-copy link: Google's Workspace Learning Center describes copying the share link and replacing the word edit, and everything after it, with the word copy. Put that link in a PDF with setup steps. The Excel version is the workbook itself. Protecting formulas while keeping inputs editable

Protect the formulas, leave the inputs open, and be honest with yourself about what that achieves. In Google Sheets, use Data, then Protect sheets and ranges, and either protect only the calculation ranges or protect the sheet and tick Except certain cells for the inputs. The Show a warning when editing this range option asks for confirmation without blocking the edit, which suits buyers who want to customise. In Excel, clear the Locked box on the input cells in Format Cells, then choose Protect Sheet on the Review tab and tick what buyers may still do, such as sorting and filtering.

What does protect the business is everything around the file. A license that says one buyer, no resale and no redistribution; our terms of use template for digital products has the clauses. A version number on the Start here tab and updates that go only to buyers. Support that answers within a day. And a tutorial that makes you the obvious person to buy from, which is the next section.

One Excel-specific warning: if you set a protection password, write it down. Microsoft is explicit that it cannot retrieve a forgotten one, and you will need it every time you ship an update.

The tutorial-as-marketing loop

The most reliable marketing for a spreadsheet template is a free video that teaches people to build a simpler version of it. That sounds like giving the product away. It is not, because the viewer who searches "how to make a debt payoff tracker in Google Sheets" has told you exactly what they want, and a share of them will decide twenty minutes in that buying the finished one is the better use of an evening.

  1. Pick the search. Title the video with the build the viewer wants: the job, then the app. One job per video.
  2. Build the simple version on camera. Real formulas, no skipped steps. The viewer should be able to follow along and end with a working sheet.
  3. Show the finished template near the end. The dashboard, the dropdowns, the Excel version, the instructions tab. Say what it adds, plainly, and that the link is in the description.
  4. Answer every comment. Questions tell you which formulas confuse people. Those become the next videos and the next fixes.
  5. Turn each fix into an update. Version 1.1 goes to existing buyers, and the listing gets a line saying what changed.

The video is honest marketing because it is useful on its own. People who build along get a working sheet for free. People who buy are paying for the hours saved, the tested edge cases, the second format and the updates. Both groups leave with what they came for, and both can recommend you.

Two more details from YouTube's feature access page: videos longer than 15 minutes and custom thumbnails need a verified phone number, and chapters sit behind advanced features along with clickable description links. Where to sell spreadsheet templates, and what each platform keeps

Two spreadsheet-specific catches on Etsy. First, its supported file types for digital listings include .pdf and .zip but not .xlsx, so the Excel workbook goes inside a ZIP, with a PDF beside it carrying the Google Sheets copy link. A listing holds up to five files of up to 20MB each. Second, a sale that Etsy attributes to its Offsite Ads costs a further 15% of the order, or 12% once a shop has passed $10,000 in sales over twelve months; shops under that threshold can opt out.

The Excel template business: selling to companies

Business buyers want the same file with different paperwork. The template is judged on whether it survives an audit by someone who knows Excel, and the purchase is judged on whether it can be expensed and shared without a legal question.

  • License tiers. Offer a single-user license and a team license at a higher price. A company that wants ten people using the model will pay for permission; without a team tier they will share it anyway.
  • Round prices and a receipt. Business templates are bought on a card that someone reconciles. A storefront that issues a proper receipt and handles sales tax saves you the email asking for an invoice.
  • No macros unless the job needs them. Many company machines block macro-enabled files, and macros do not survive a trip into Google Sheets.
  • State the Excel version. Finance teams are often on older installs. Name the minimum version on the listing and on the Start here tab.
  • Visible logic. Analysts want to trace a number back to its inputs. Protect against accidents, but do not hide formulas from people whose job is to check them.

Mistakes that sink spreadsheet shops

  • Selling a tracker as if it were a tool. If the sheet only stores what the buyer types, a free file does the same. Add the calculation that turns the records into a decision.
  • Converting instead of rebuilding. The Excel export of a Sheets file is a draft of the Excel product, not the product.
  • Treating protection as copy protection. Hours spent hiding formulas are hours not spent on the instructions tab, which is what buyers actually review.
  • No stated requirements. "Does this work on my version" should be answered by the listing, not by a refund.
  • A tutorial with a dead link. Check that the channel has the access level for clickable description links before the video goes live.
  • Twelve unrelated templates. A line that shares one layout is easier to build, support and bundle than a catalogue of one-offs.

Do spreadsheet templates still sell when free ones exist?

They sell when they do a specific job better than a free file. Free templates are generic: a blank budget, a basic invoice. A paid template is built for one buyer and one decision, such as pricing a handmade product after marketplace fees, and it arrives tested, explained and supported. Buyers are paying to skip the build and the debugging, not for the cells themselves.

Should I sell Google Sheets templates, Excel templates or both?

Both, as two native builds in one listing. Google Sheets suits browser-first buyers and shared files; Excel suits finance and corporate buyers on desktop Office. Do not convert one file into the other and ship it. QUERY and IMPORTRANGE have no Excel version, Excel protection is dropped when a workbook is opened in Sheets, and macros do not run there. How do I stop buyers from copying or sharing my spreadsheet template?

You cannot fully stop it. Google says sheet protection should not be used as a security measure, and Microsoft says worksheet protection is not intended as a security feature. Can I upload an Excel file to an Etsy digital listing?
