How to deliver digital products with Google Drive: share files with buyers step by step

Set up a Drive delivery folder

    Create one folder per product

    Name it after the product and version, for example "Wedding Planner v2 - buyers". Keep source files elsewhere. Expected result: a clean folder with only what buyers get.

    Under General access, choose "Anyone with the link". Expected result: a link anyone holding it can open.

    Never Editor; an editor can delete or change your files for every other buyer. Expected result: buyers can open but not change files.

Google's help page on changing sharing permissions describes the download, print and copy option for files you own (checked October 2026). Note what it does not do: viewers can still take screenshots, and a determined person can retype content. The setting raises the effort of copying; it does not make copying impossible.

Templates: give every buyer their own copy

For Google Docs, Sheets and Slides templates, buyers need an editable copy, not your original. The common method is a link that opens Google's "Make a copy" prompt: share the file as Viewer, copy the link, and replace the ending (from /edit onwards) with /copy. This is a URL behavior many sellers rely on rather than a setting Google documents in its sharing help, so test it in a logged-out window every time you publish. Google's help also notes that people who can view a file can make a copy of it, which is exactly what you want here.

Write one line in your access PDF telling buyers to click "Make a copy" and save it to their own Drive. That single instruction prevents most "I can't edit it" messages.

Dropbox digital delivery: when it beats Drive

Dropbox is often the better choice for large download files, and its link controls go further on paid plans. Dropbox's help page on link settings says customers on Professional, Essentials, Standard, Advanced, Business, Business Plus and Enterprise plans can add a password to a shared link and set an expiration date, after which the link stops working (checked October 2026). Link settings only apply to people opening the shared link, not to people you added directly.

Google Drive also supports access expiration, but its help page lists it under options for Google Accounts through work or school: you can set an expiry date within one year for a specific person you shared with. It does not apply to "Anyone with the link" access. On a personal Google account, plan on rotating links instead.

Etsy lets you attach up to five files of up to 20MB each to an instant-download listing, according to its help page on managing digital listings (checked October 2026). Bigger bundles, video and editable templates usually go through a cloud link, delivered inside a PDF that Etsy sends as the download. Never paste the raw cloud link into a listing description, a review reply or a public post. Anyone who reads it gets the product.

If a link leaks: rotate it

If you find your product on a reseller site or a public forum, rotate. Copy the files into a new folder, share the new folder with the same settings, update the link in your access PDF and re-upload the PDF to your listings, then set the old folder to Restricted. Google's help says that when you change an item's general access to Restricted, only people with access can open it. Existing buyers who already downloaded keep their files; anyone who needs the link again can message you for the new PDF.

Which delivery method should you choose?

Pick the method by product type, price and how much a leak would cost you. A low-priced printable that buyers expect to download and print does not need per-buyer access; the time you spend managing it would cost more than an occasional leak. A higher-priced course workbook or a template system you update often deserves tighter control, because each leaked copy replaces a sale and every update needs to reach paying buyers only.

  • Platform upload first. If your files fit your sales platform's limits, let the platform deliver them. It generates the download for each buyer and you skip the cloud link entirely.
  • Drive for templates. Docs, Sheets and Slides products belong in Drive, delivered through a make-a-copy link in the access PDF.
  • Dropbox for big files with controls. Large video or design packs, with a password or expiry date if your plan includes them.
  • Per-person sharing for small, high-value sales. Share to the buyer's email so the link is useless to anyone else.

Troubleshooting

  • Buyer sees "You need access". General access is still Restricted, or you shared a file inside a restricted folder. Re-check sharing on the item you linked.
  • Buyer cannot edit the template. They opened your view-only original. Point them to the Make a copy step.
  • Download button missing. You turned off download for viewers. Turn it back on if the product is meant to be downloaded.
  • Link works for you but not buyers. You tested while signed in as the owner. Always test in a private window.
  • Work or school account will not share outside. Google notes that some organization accounts cannot share outside the organization; use a separate business account.

You cannot fully stop it, because anyone with an "Anyone with the link" URL can pass it on. You can reduce the damage: share view-only, disable download, print and copy for viewers, deliver the link inside a PDF rather than in public text, and rotate the link by moving files to a new folder if it leaks. Can Google Drive links expire?

Google Drive lets you set an access expiration date for a specific person, within one year, but its help center lists this under options for Google Accounts through work or school.
