To make Notion templates to sell, build the system in one standalone page, lock the structure buyers should not break, keep calculations in formula properties, and publish it with Duplicate as template turned on. Add a read-only demo page so buyers can click through before paying, then list it on Notion Marketplace or deliver the duplicate link from Etsy or Gumroad.
To make Notion templates to sell, build one standalone page that solves a specific job, lock the parts buyers should not break, then publish it with Duplicate as template turned on and sell the duplicate link. Everything else on this page is about making that link survive real buyers: people who delete properties, type over formulas, share the link with friends and judge the product from three screenshots.
Notion steps and rules checked October 2026 against Notion's help pages on selling templates on Marketplace, publishing with Notion Sites, locking pages and databases and the Marketplace guidelines and terms.
This is the build guide. For the business side, which niches sell and how to market them, read our Notion templates business guide. If Notion is one of several product types you are weighing, start at the digital product creation hub, which compares formats before you commit to one.
What you will have at the end
A finished, sellable template is four assets, not one. Most first-time sellers ship only the first and wonder why buyers ask for refunds or never convert.
- 01Master copy
Private. Where you build and fix. Never shared.
- 02Product copy
Published with Duplicate as template on. The link buyers receive.
- 03Demo copy
Published read-only with sample data. The link on your listing.
- 04Listing
Screenshots, a short video, the demo link and clear requirements.
Keeping the master separate matters more than it looks. When you fix a bug, you fix it in the master, then refresh the product copy. If you build directly in the published page, every half-finished edit is live for anyone holding the link.
Before you start: the prerequisites
- A Notion workspace you own, separate from client or employer workspaces
- One job the template does, written in a sentence (for example: plan and track a freelance pipeline)
- Realistic sample data you made up yourself, with no real names or client details
- Icons, covers and images you have the rights to use
- A store choice: Notion Marketplace, Etsy, Gumroad or your own checkout
- A support email you will actually check
Notion's Marketplace terms say you must have the rights to everything you post, and they prohibit reposting content bought from other creators. That includes cover images pulled from a search engine and layouts copied from another seller's template. Build from your own work.
How to make Notion templates to sell, step by step
- 11. Build in one top-level page
Notion asks for standalone pages, not database subpages. Expected result: one page that holds every database and view.
- 22. Separate inputs from logic
Plain properties for what buyers type; formula and rollup properties for what the template calculates.
- 33. Add a Start here section
Callouts that explain each database in two lines, plus a short checklist of first actions.
- 44. Lock the structure
Lock database on full-page databases and Lock page on instructions. Expected result: rows editable, views and properties fixed.
- 55. Remove outside links
Any link to a page outside the template breaks for the buyer. Point every link at a page inside it.
- 66. Publish the product copy
Share, Publish, Publish, then toggle on Duplicate as template.
- 77. Test as a stranger
Open the link logged out or in a second account, duplicate it, and follow your own instructions.
- 88. Publish the demo copy
A separate copy with sample data and the duplicate toggle off.
Step 5 trips more sellers than any other. Notion's selling guide warns that a template should not include content duplicators cannot access; if you link to a page that lives elsewhere in your workspace, the buyer sees a broken link. Search the template for links before you publish.
The duplicate-proof build: what to lock and what to leave editable
A buyer who breaks your template blames the template. The goal is a page where the obvious actions work and the destructive ones take a deliberate extra step. Notion gives you three tools for that, and none of them is a hard lock: anyone with edit access can turn page and database locks off. They stop accidents, not determined users.
| Part of the template | How to protect it | What it does and does not stop |
|---|---|---|
| Database structure (properties, views) | Lock database | Buyers can still add and edit rows; anyone with edit access can turn the lock off |
| Instruction and dashboard pages | Lock page | Read-only until someone turns the lock off on purpose |
| Calculations | Formula properties | Buyers cannot type over a formula cell; they can still edit the formula itself |
| Inputs | Plain number, select, date properties | Leave these editable and label them clearly |
| Sample data | Template rows marked as examples | Make it obvious what to delete before real use |
| Redistribution | Access locking (Notion Marketplace only) | Restricted blocks moving the template to another workspace |
Lock database is the one to know. On a full-page database it fixes views and properties while still letting people add and edit rows, which is exactly what a buyer needs: they fill in data without deleting the Status property your dashboard depends on.
Leave editable anything a buyer should personalise: select options for their own categories, page titles, covers and the sample rows they will delete. A template that fights customisation feels broken in a different way.
Formula hardening for calculators in Notion
Templates that calculate something, a budget, a habit streak, a content calendar with deadlines, get judged on whether the numbers are right on day one. Four habits keep them right:
- Handle empty inputs. A new buyer starts with blank rows. Wrap calculations so an empty date or number returns nothing instead of an error or a misleading zero.
- Keep one source per number. If a total appears on the dashboard and in a database, compute it once with a rollup and display it twice, rather than writing two formulas that can drift.
- Name properties for buyers. "Hours logged" beats "hrs_v2". Buyers read formula property names in views, and they edit what they do not understand.
- Test with odd values. Negative numbers, dates in the past, a currency with decimals, a row with every field empty. Fix anything that renders an error before publishing.
The demo-page approach: let buyers click before they pay
Screenshots show a template; a demo lets a buyer use one. The demo is a second published copy, filled with realistic sample data and published without Duplicate as template. A buyer clicks between views, opens a record and sees what a filled dashboard looks like, which is the question screenshots never answer.
Keep the demo honest. Use the same version as the product, label it as a demo at the top, and do not pre-fill it with features that only exist in a bonus pack. Notion's listing standards require images and videos to reflect what the template actually contains, and the same rule is good practice everywhere else.
- Three cropped screenshots
- No way to try it
- Feature list in Notion jargon
- Requirements not stated
- Screenshots plus a short walkthrough video
- Read-only demo link
- The job it does in one sentence
- Which Notion features it needs
Listing it on Notion Marketplace
Notion's submission flow starts from your creator profile at app.notion.com/profile. You add the template's name, link, category and language, upload screenshots and an optional video of up to 60 seconds, set a price if it is paid, choose access locking and decide whether to collect buyer emails. Then you submit it for review (checked October 2026).
- Selling through Notion. You join a payments waitlist, get approved and onboard with Stripe. Notion says that review can take a few months.
- Selling elsewhere while listed. You can list on Marketplace and point the listing at a third-party checkout.
- One link per channel. Once you sell through Notion, paid templates' Notion Site links redirect to Marketplace checkout. Notion tells creators to publish a separate copy at a new link for any third-party store, or those buyers cannot duplicate.
- Access locking is only available for templates sold through Notion or listed free on Marketplace. With Restricted, buyers can duplicate within their own workspace but cannot move the template or paste its blocks into another workspace.

Making Notion templates for Etsy
Etsy sells the template as a digital download, so what the buyer downloads is usually a short PDF: a welcome note, the duplicate link and the steps to add the template to Notion. Etsy allows up to five files of up to 20MB each on a digital listing, per its digital listings help page (checked October 2026), which is plenty for a PDF and an optional guide.
Two Etsy-specific points. Etsy's Creativity Standards require digital items to be made or designed by you, and require you to disclose AI use in the listing description if you used AI to create the item (checked October 2026). And because the link is the product, swap the published copy if it starts circulating: unpublish the old copy, publish a new one and send existing buyers the new link.
To compare where to list it, from Notion's own marketplace to Gumroad and Etsy, see our guide to the Notion template marketplace. If you want the whole product system rather than one template, our Digital Products program covers validation, building, pricing and the launch sequence we use across templates, printables and guides.
Create Notion templates as a business, not a one-off
One template is a test. A business is a small catalog around one audience: a freelancer planner, then a client portal, then an invoice tracker that shares the same visual style and property names. Buyers who liked the first recognise the second, and you reuse your locked structures and demo format each time.
Keep a changelog in the master copy. When Notion ships a feature that changes how your template should work, update the master, refresh the product copy and tell past buyers what changed. Notion's listing standards ask for submissions that reflect current Notion features, and buyers notice templates that still use workarounds Notion has since replaced.
Troubleshooting
- Buyer says the link shows a checkout instead of the duplicate button. That copy is now sold through Notion Marketplace. Publish a separate copy for the store they bought from.
- Buyer says pages are missing. Something links outside the template. Find it in the master, move the page inside, republish.
- Buyer broke the dashboard. A property the dashboard filters on was deleted or renamed. Lock that database and add a callout naming the properties not to touch.
- Template looks different in their workspace. Fonts, page width and dark mode follow their settings. Design screenshots in default settings so expectations match.
- Duplicated it from a second account and followed every instruction
- No links point outside the template
- Structure databases locked, instruction pages locked
- Every formula tested with empty and odd values
- Sample data is clearly marked and easy to delete
- Demo copy published separately with the duplicate toggle off
- Listing images and video match the current version
Making Notion templates to sell: FAQ
How do I make a Notion template that people can buy?
Build the system in its own top-level page, add instructions and sample data, then publish it with Share, Publish and the Duplicate as template toggle on. That public link is what a buyer duplicates into their workspace. You can list it on Notion Marketplace, sell it through Notion directly once approved for payments, or deliver the duplicate link after checkout on Etsy, Gumroad or a similar store.
Can buyers share my Notion template with other people?
If you deliver a public duplicate link, anyone who gets that link can duplicate the template, so treat the link like the product. Notion Marketplace offers access locking for templates sold through Notion or listed free there: with Restricted, buyers can duplicate inside their own workspace but cannot move it or paste blocks into another workspace. On third-party stores you rely on license terms and swapping links.
Do I need to know formulas to sell Notion templates?
No, but formulas are where a template earns its price. A plain database with good views and instructions can sell. Calculators, progress bars and rollups make it feel like software. If you use formulas, keep the inputs in normal properties, keep the logic in formula properties buyers cannot type over, and test with empty and odd values before you publish.
Can I sell Notion templates on Etsy?
Yes. Etsy treats digital items as designed by the seller, so a template you built qualifies, and the delivered file is usually a PDF holding the duplicate link. Etsy charges a listing fee and a transaction fee on each sale per its fees policy (checked October 2026). Use a separate published copy for Etsy if you also sell through Notion, because paid Notion links redirect to Marketplace checkout.
What should a Notion template demo page include?
A demo page is a read-only public copy filled with realistic sample data, published without the duplicate toggle. It lets a buyer click through views and see filled databases before paying. Include a short how-to-use section, the main dashboard, one example record opened, and a note on which Notion plan or features the template needs. Link it from the listing next to the screenshots.
How long does it take to get approved to sell on Notion Marketplace?
Listing a template and getting approved to take payments are separate steps. Selling directly through Notion requires joining a waitlist, approval by the Notion team and Stripe onboarding, and Notion says the review may take a few months. While you wait, you can list the template on Marketplace and link out to a third-party checkout. Checked October 2026.
