The United States and Canada print on US Letter and most other countries print on A4, so a printable that ships in one size is the wrong size for a large share of the people who could buy it.

- One buyer and one job for the page: a meal planner for shift workers, not "a planner"
- The page list: how many pages, and what each one is for
- Fonts and graphics you are licensed to use in products you sell
- A PDF reader that shows page size and prints at 100% scale
- A printer, plus a few sheets of both Letter and A4 if you can get them
- A ruler
What Canva lets you sell as a printable
Canva allows you to sell printables that are your own design, including ones that use its Free and Pro elements. Its help page has a scenario that fits print-at-home products exactly: a seller who makes greeting cards "for her customers to print at home", which the customers cannot edit, from "a mixture of fonts and Free and Pro Content". Canva's verdict: "This is allowed."

The line Canva draws is between a design and an ingredient. A planner page you laid out is a design. A single library illustration with a frame around it is the ingredient, and Canva says you cannot sell its content on a standalone basis. What size should printables be? Letter, A4 and A5
Make US Letter and A4 for every printable, and add A5 when the product is a planner insert. They are different shapes, not different scales of one shape, which is why one file cannot serve both.

A4 is 5.9 mm narrower and 17.6 mm taller than Letter. That small difference is the whole problem: a Letter page does not fit on A4 without shrinking or losing its sides, and an A4 page does not fit on Letter without shrinking or losing its top and bottom.
A5 is the friendly one. It is A4 cut in half and keeps the same proportions, so an A4 page printed at 71% is an A5 page, and two fit on one A4 sheet. The catch is type: 11 point text lands under 8 point at that scale. Half Letter is a narrower shape than Letter, so it always needs its own layout.

Step 1: create the Letter master
On Canva's homepage, select Custom size, set Units to in, enter 8.5 for the width and 11 for the height, and select Create new design. Canva accepts px, in, mm and cm here. Use inches or millimetres, the units paper is sold in. Start from the blank page, not from a library template.
Expected result: an empty one-page design at 8.5 by 11 inches.
Step 2: switch on margins and rulers
Open File, then Settings, and select Show margins. If the option is missing, Canva says to look under File, then Rulers and guides. On desktop, the same menu has Show rulers and guides. Canva's margin guide is fixed to its own print specification and cannot be resized, so place four guides half an inch in from each edge and treat that box as the page.
Half an inch is our number, not Canva's. It covers the unprinted strip that printers without borderless printing leave at the edge, and the 3 mm a Letter page loses on each side when someone prints it at full size on A4.
Expected result: a visible safe area with every guide 0.5 inches from the edge.
Step 3: design inside the safe area
Build the layout yourself: your grid, your headings, your arrangement. Keep body text dark on white, and skip full-page color backgrounds. They spend the buyer's ink and often stop short of the edge: Canva's own printing page warns that "Not all home printers support features like full bleeds or crop marks."
Expected result: every page finished in Letter, with nothing outside the guides that you could not afford to lose.
Step 4: make the A4 version
On a paid plan, select Resize in the editor's menu bar, choose A4 from the suggested sizes or select Custom size and enter 210 by 297 mm, keep All pages selected, and select Copy & resize. That creates a second design and leaves the master untouched. Canva lists Resize for Pro, Business, Teams, Enterprise, Education and Nonprofits accounts.
On the free plan, create a new design at 210 by 297 mm with Custom size. Add a page, open Projects in the side panel, select the Designs tab, then select the Letter design and the page you want. Canva adds that page to the design you are working in. Repeat for each page.
Expected result: two designs with the same number of pages, one Letter and one A4.
Step 5: refit every A4 page
A resized copy is a draft. Go through each page: pull anything that crossed the right-hand guide back in, recentre the layout, and decide what the extra 17.6 mm of height is for. On a lined page, add rows. On a worksheet, open up the spacing. Do not stretch the artwork to fill the page; stretched type is the first thing a buyer notices.
Expected result: an A4 design that looks made for A4, not a Letter page dropped onto a taller sheet.
Step 6: export both as PDF Print
In each design select Share, then Download, and choose PDF Print as the file type. Canva lists PDF Print at 300 dpi and PDF Standard at 96 dpi, and only the first is meant for paper. Turn on Flatten PDF, which merges the layers into one so every element prints and fonts display as designed. Leave Crop marks and bleed unticked: Canva's bleed adds 0.125 inches to each side, and the page would no longer be Letter or A4. Keep the color profile on RGB for now.
Some accounts show these as a PDF file type with a Print preset and an Advanced settings panel. The choices are the same.
Expected result: two PDF files, one per size, each containing every page.
Steps 7 and 8: check the page size, then print
Open each PDF and read the page size in the document properties. Letter should read 8.5 by 11 inches. A4 should read 210 by 297 mm, which some readers show as 8.27 by 11.69 inches. A larger number means bleed or crop marks were left on. Then print, using the checklist further down.
The mistake that generates refund requests
A 3% shrink sounds harmless until the product has to match something physical. Planner inserts no longer line up with punched holes. Labels miss their sticker sheets. A cut-and-fold template comes out a size too small. The buyer does not know which setting caused it, only that your file printed wrong.
Two files remove the problem at the source. The buyer opens the one named for their paper and prints it at 100%.
RGB or CMYK: what buyers should expect from color
Export RGB unless you have a specific reason not to. Canva's editor works in hex codes, which its help page calls a compact way of expressing RGB values, and screens show RGB. Printers lay down cyan, magenta, yellow and black ink, so every print involves a conversion, and the conversion has limits.

Canva is direct about which colors suffer. Very bright, saturated ones "such as electric blues or hot pinks" sit outside what ink can reproduce and print softer or more muted. Its advice is to pick slightly lighter versions of those colors. For a printable that means choosing the palette for paper: mid-tone colors, dark text, and no neon accents that only exist on a backlit screen.
Then tell the buyer, before they buy. This note goes in the listing description and on the first page of the download.
The print test, before any buyer runs it for you
A printable is not finished until it has been through a printer. Screens hide thin lines, tight margins and scale errors; paper shows them in one pass.
- Print the Letter file on Letter paper at 100% or Actual size, not Fit
- Print the A4 file on A4 paper at 100%. No A4 paper? Print it on Letter at 100% and check only the width
- Measure the left and right margins with a ruler: they should match your guides
- Nothing is cut off on any edge, on any page
- The smallest text is readable at arm's length
- Writing lines and boxes are big enough to write in with a pen
- Light grey lines and pale fills are still visible on paper
- Colors are acceptable in a draft-quality print, not only at best quality
- Page order and page count are the same in both files
- Each file opens on a phone and is under 20MB
Packaging the files for an Etsy listing
Every size goes into the same listing. Etsy's help page says plainly that digital items cannot have variations, so there is no size menu at checkout. An instant-download listing takes up to five files of up to 20MB each, and the names you upload are the names buyers see: 70 characters at most, and not editable afterwards (checked October 2026).

State the sizes in the first line of the description and on the second listing image, and show the real pages rather than a blank artboard; creating mockups in Canva for Etsy covers the free method. Troubleshooting: what buyers report and what caused it
- "It printed small, with extra white space." A Letter file printed on A4 with Fit. Point them to the A4 file.
- "The edge is cut off." Content sat outside the safe area, or the file was printed at full size on the other paper standard.
- "The lines look fuzzy." The file was exported as PDF Standard at 96 dpi, or an image was enlarged after import. Re-export as PDF Print.
- "The colors look dull." Bright RGB colors that ink cannot reach. Adjust the palette and keep the color note in the listing.
- "The pages are bigger than my paper." Crop marks and bleed were ticked on export. Download again with the box clear.
- "The fonts look different." The PDF was not flattened. Turn on Flatten PDF and replace the file in the listing.

Do I need Canva Pro to make printables?
No. Custom page sizes and the 300 DPI PDF Print download work on the free plan. Paid plans add three things that help: Resize, which copies a design to a new size in one step, the CMYK color profile on export, and PDF compression. What size should printables be?
Ship two sizes as a minimum: US Letter at 8.5 by 11 inches for the United States and Canada, and A4 at 210 by 297 mm for most other countries. At 300 DPI those are 2550 by 3300 and 2480 by 3508 pixels. Add A5, 148 by 210 mm, for planner inserts. Wall art needs frame ratios instead, which is a separate set of sizes.
Should printables be RGB or CMYK?
RGB is the practical default. Canva's editor works in hex codes, which are RGB values, and the RGB profile is available on every plan. Printing converts those colors to ink, and Canva notes that very bright colors such as electric blues and hot pinks print softer. Pick colors that survive that shift, and add a CMYK version only for color-critical work if you have a paid plan.
What resolution do printables need?
Use 300 DPI for anything printed. In Canva that means choosing PDF Print when you download, which Canva describes as being for printing at a resolution of 300 dpi. PDF Standard is 96 dpi and is meant for screens, so text and lines exported that way can look soft on paper. If you design in pixels elsewhere, a Letter page is 2550 by 3300 pixels.
How many files can an Etsy printable listing include?
Up to five, at a maximum of 20MB each, and Etsy does not offer variations on digital items, so every size goes into the same listing as its own file. File names are limited to 70 characters and cannot be edited after upload. A common set is a Letter PDF, an A4 PDF, an optional A5 PDF and a one-page printing guide. Checked October 2026.
